01 — Introduction
In 2024, I supported the launch of Geo-Data Factory (GDF), a newly developed software platform designed to replace a legacy system used across global marine projects. The primary challenge was ensuring all 276 users adopted the new platform before the previous software was decommissioned, as any disruption could impact high-value project delivery.
To support this transition, I developed and executed a strategic internal communications campaign, creating marketing collateral and visual content that translated technical information into clear, engaging messaging. I designed and managed a range of communication assets, including SharePoint pages, Viva Engage content, brochures, posters, style guides, and promotional materials. I also coordinated communication schedules, published content across multiple channels, and tracked engagement metrics to evaluate campaign effectiveness.
02 — Challenges
The key challenge was ensuring all 276 employees across global marine projects transitioned to GDF before the legacy software was decommissioned. With teams relying on the platform to manage critical project data, any gaps in adoption could have caused workflow disruptions, project delays, and financial impacts to high-value client projects.
To mitigate this risk, I supported a targeted communication strategy that leveraged senior engineer testimonials, clear transition deadlines, and engaging marketing collateral to drive awareness and adoption. The successful rollout enabled all users to transition before the legacy system was retired, helping maintain business continuity.
03 — Process
To drive software adoption and reduce the risk of disruption to high-value marine projects, we implemented a multi-channel communications campaign. We first partnered with regional champions across the business, equipping them with campaign assets and key messaging to promote the transition within their local teams. This was supported by a targeted global email campaign that provided highlighted key deadlines, and reinforced the benefits of the new platform, as well as the risks associated with keeping the old software.
To maximize visibility and engagement, we also published two global social posts featuring engineer testimonials and adoption messaging. By combining local advocacy with global communications, we were able to reach all user groups, build awareness, and support the successful transition of 276 employees before the legacy software was retired.
